Cancellation policy 

If you decide to cancel your participation, we will charge you cancellation costs.

These costs are passed on according to the schedule below.

  • Up to 6 months before the start of the event: 30% of the total amount.
  • Up to 5 months before the start of the event: 60% of the total amount.
  • Up to 4 months before the start of the event: 70% of the total amount.
  • Up to 3 months before the start of the event: 85% of the total amount
  • From 3 months or less before the start of the event, all no-shows and cancellations
    will be charged for 100%.
  • Cancellation of participation is only possible in writing.

 

Special Covid-19 cancellation policy

In case of a new lockdown due to Covid-19, the event will be postponed to the next suitable date.


  • The amount already paid remains valid in case of postponement.
  • The new date will be chosen together with the registered participants.
  • If the new date is not suitable for you and you have to cancel, we will search for a fitted solution together such as partial or full refund.
  • Partial refund is possible if the cancellation is notified in time and depends on the cancellation date, different per hotel. Partial refund will be reviewed for each hotel so he/she will receive the maximum possible refund.
  • Full refund is only possible if there is a replacing participant on the new date.
    In case we receive a new registration, we will refund the full amount, provided that we have filled up our number of booked rooms again.
  • The participant is free to provide a substitute / replacement himself.
  • Cancellation of participation is only possible in writing.
